How to View and Edit Asset Details

Access complete information about any asset, update its details, and manage attached files.

Quick Summary

Click on any asset name to view its details. Use the Profile tab for equipment info and the Status tab for IoT device data.


Before You Begin

Requirements
  • You must have read permission for assets
  • To edit assets, you need assets:update permission

Viewing Assets

List View vs Page View

Infodeck offers two ways to browse assets:

ViewBest For
List ViewBrowsing many assets, bulk operations
Page ViewDetailed work with individual assets

Toggle between views using the view selector in the top right corner.

Opening Asset Details

In List View:

  1. Click on any asset name
  2. A quick view modal opens with key information
  3. Click View Details for the full detail page

In Page View:

  1. Click on any asset in the left panel
  2. Details appear in the right panel immediately

Asset Detail Tabs

Profile Tab

Shows all asset information:

Editing Asset Details

Step 1: Open the Asset

  1. Find the asset using search or browse
  2. Click to open the detail view

Step 2: Enter Edit Mode

  1. Click the More button (three dots icon)
  2. Select Edit

Step 3: Update Information

Make changes to any editable fields:

  • Name and description
  • Equipment details (model, serial number, etc.)
  • Location assignment
  • Associated assets
  • Attachments

Step 4: Save Changes

  1. Review your changes
  2. Click Save
  3. You'll see "Asset saved successfully"
IoT Device Restrictions

Some IoT device fields (UUID, Integration Service) cannot be changed after creation. To modify these, you must delete and recreate the asset.


Managing Attachments

Uploading Files

  1. In edit mode, scroll to the Files section
  2. Click Upload
  3. Select files from your computer
  4. Files upload and appear in the list

Supported Files:

  • Documents (PDF, Word, Excel)
  • Images (JPG, PNG)
  • Manuals and certificates
  • Any file type up to your plan limit

Viewing Files

  1. Open the asset's Profile tab
  2. Scroll to Attachments
  3. Click any file to download

Removing Files

  1. Enter edit mode
  2. Find the file in the attachments list
  3. Click the delete icon
  4. Save the asset

Searching and Filtering Assets

Use the search bar to find assets by:

Multiple Criteria

Combine search terms with commas: Building A, HVAC, Critical finds critical HVAC assets in Building A.

Filtering by Device Type

Use the filter buttons to show:

  • All — All assets
  • Physical () — Non-connected equipment
  • IoT () — Connected sensors and devices

Grouping Assets

Click Group to organize assets by type. This makes it easy to see all assets of the same type together.


Real-World Examples

Example 1: Finding a Specific Asset

Situation: You need to locate the fire extinguisher in Building B, Floor 2.

Solution:

  1. In the search bar, type: fire extinguisher, Building B
  2. Results filter to matching assets
  3. Click the asset to view its exact location and last inspection date

Result: You find the fire extinguisher details including its location on the floor plan and next inspection due date.


Example 2: Updating Equipment Information

Situation: An HVAC unit was serviced and you need to update the serial number that was recorded incorrectly.

Solution:

  1. Search for the HVAC unit by name
  2. Click to open details
  3. Click MoreEdit
  4. Update the Serial Number field with the correct value
  5. Add a note in description: "Serial number corrected after maintenance visit"
  6. Click Save

Result: The asset record now shows the correct serial number for future reference.


Example 3: Checking IoT Device Status

Situation: The server room temperature alert triggered, and you need to verify sensor data.

Solution:

  1. Click Asset in the sidebar
  2. Filter to IoT devices only
  3. Search for "server room"
  4. Click the temperature sensor
  5. Go to the Status tab
  6. View current reading and historical chart

Result: You can see the exact temperature reading, when it exceeded the threshold, and the trend over time.


Example 4: Adding Documentation to an Asset

Situation: You received the annual certification for an elevator and need to attach it.

Solution:

  1. Find the elevator asset
  2. Click MoreEdit
  3. Scroll to Files section
  4. Click Upload and select the PDF certificate
  5. Click Save

Result: The certification is now attached to the elevator asset. Anyone can access it during audits or inspections.


Deleting an Asset

To permanently remove an asset:

  1. Open the asset details
  2. Click MoreDelete
  3. Confirm the deletion
Permanent Action

Deletion cannot be undone. All associated data, including work order history links, will be affected.
