How to Create a Location
Add physical locations to Infodeck to organize your work orders, assets, and forms.
Quick Summary
Click Create Location, enter a name and address (for buildings) or select a parent location (for floors/rooms), then click Create.
Before You Begin
- You must have locations:create permission
- For sub-locations and zones, the parent location must exist first
Step-by-Step: Create a Top-Level Location
Top-level locations represent buildings or facilities with physical addresses.
Step 1: Open the Location Form
- From the left sidebar, click Locations
- Click the Create Location button in the top right
Step 2: Enter Location Details

Step 3: Set Business Hours (Optional)
- Check the days this location operates
- Set opening and closing times for each day
- See the calculated Weekly Coverage hours
Step 4: Upload Attachments (Optional)
Add floor plans, maps, or other documents:
- Click Upload in the Attachments section
- Select files from your computer
Step 5: Create the Location
- Review all information
- Click Create
- The location appears in your location tree
Step-by-Step: Create a SubLocation (Floor)
SubLocations are divisions within a location, like floors in a building.
Step 1: Select the Parent Location
- In the location tree, click on the building
- Click Create SubLocation from the actions menu
Or:
- Click Create Location
- Click Link Parent Location toggle
- Select the parent building from the dropdown
Step 2: Enter SubLocation Details

Step 3: Create
Click Create to add the sub-location under its parent.
Step-by-Step: Create a Zone (Room)
Zones are the smallest units — individual rooms or spaces within a floor.
Step 1: Select the Parent SubLocation
- In the location tree, click on the floor
- Click Create Zone from the actions menu
Or:
- Click Create Location
- Click Link Parent Location
- Select the parent floor from the dropdown
Step 2: Enter Zone Details

Step 3: Create
Click Create to add the zone.

Real-World Examples
Example 1: Add a New Building
Situation: Your company acquired a new office building and you need to add it to Infodeck.
Solution:
- Click Create Location
- Name:
Corporate Office - Building B - Address:
456 Business Park Drive, Suite 100 - Description: "Main corporate office building, 5 floors, built 2020"
- Upload building photo as thumbnail
- Set Business Hours: Monday-Friday, 8:00 AM - 6:00 PM
- Upload floor plan PDF as attachment
- Click Create
Result: Building B appears in your location tree. You can now add floors and rooms within it.
Example 2: Add Floors to a Building
Situation: You need to add the floor structure for the new building.
Solution:
- Select Corporate Office - Building B in the tree
- Click Create SubLocation
- Create floors one by one:
- Name:
Floor 1 - Lobby & Reception - Name:
Floor 2 - Sales & Marketing - Name:
Floor 3 - Engineering - Name:
Floor 4 - Executive Offices - Name:
Floor 5 - Server Room & IT
- Name:
Result: Your building now has a complete floor structure visible in the tree.
Example 3: Add Rooms to a Floor
Situation: You need to track individual rooms on Floor 3 for work orders.
Solution:
- Expand Building B in the tree
- Select Floor 3 - Engineering
- Click Create Zone repeatedly to add:
Conference Room 301Open Office AreaBreak RoomStorage Closet 3AServer Closet 3B
Result: Floor 3 now shows all its rooms. Technicians can create work orders for specific rooms.
Example 4: Hospital Wing Structure
Situation: You manage a hospital and need to organize by wings and rooms.
Solution:
- Create top-level location:
General Hospital - Main Campus - Create sub-locations:
Emergency WingSurgical WingPediatric WingAdministrative Building
- Within each wing, create zones:
- Emergency Wing:
Triage Room 1,Trauma Bay A,Waiting Area - Surgical Wing:
OR 1,OR 2,Recovery Room,Sterilization
- Emergency Wing:
Result: Complete hospital structure for assigning maintenance work orders to specific areas.
Address vs Parent Location
When creating a location, you'll see a toggle:

| Link Parent Location | Floors and rooms within a building |
Click Link Parent Location to switch between modes.
What Happens Next
After creating a location:
- Add sub-locations — Create floors or areas within it
- Add zones — Create rooms within floors
- Assign assets — Link equipment to the location
- Create work orders — Assign maintenance tasks here
- Assign forms — Enable data collection with QR codes
