How to View Form Responses

Review submitted responses, track completion rates, and analyze the data collected from your forms.

Quick Summary

Open a form and click the Responses tab to see all submissions. Use filters to find specific responses, or export to CSV/Excel.


Before You Begin

Requirements
  • You must have read access to view responses
  • At least one response must be submitted

Step-by-Step Guide

Step 1: Open the Form

  1. From the left sidebar, click Forms
  2. Find the form you want to review
  3. Click on the form name to open the detail view

Step 2: Go to the Responses Tab

  1. Click the Responses tab at the top of the form detail page
  2. You'll see a table of all submitted responses

Response Table

The response table shows:

SubmittedDate and time the response was submitted
Form Assign toLocation or asset where the form was filled
StatusComplete, Partial, or Offline
[Question columns]One column for each question in your form
ActionsView button to see full response details

Click View on any row to see the complete response with all answers.


Filter and Search Responses

Use filters to find specific responses:

Date RangeShow responses from a specific time period

Understanding Response Status

StatusMeaning
CompleteAll questions were answered and submitted
PartialSome questions answered, submission incomplete
OfflineSubmitted while device was offline (synced later)

View Form Analytics

Click the Summary tab to see overall statistics:

  • Total Responses — Number of completed submissions
  • Completion Rate — Percentage of started forms that were completed
  • Average Response Time — How long users take to complete the form
  • Submissions Over Time — Chart showing response trends

For Regular Forms, you'll also see:

  • Number of Assignments — How many locations/assets have this form

For Work Order SOPs, you'll also see:

  • Number of Work Orders — How many work orders use this SOP

Export Responses

Download response data for analysis:

  1. Click the Export button in the Responses tab
  2. Choose your format:
    • Export as CSV — For spreadsheets and data analysis
    • Export as Excel — For Microsoft Excel
Plan Requirement

Export is available on Basic plan and above.


Form Detail Tabs

The form detail view has three tabs:

Work Order SOPs

Work Order SOP forms don't have the Form Associate tab. Instead, they're attached to work orders directly.


Pagination

For forms with many responses:

  • Change page size: 10, 20, 50, or 100 responses per page
  • Use the page navigation to browse through results
  • Jump to a specific page using the quick jumper

Real-World Examples

Example 1: Weekly Safety Compliance Review

Situation: You need to review this week's safety inspection responses and identify any locations with issues.

Solution:

  1. Open your Daily Safety Inspection form
  2. Click the Responses tab
  3. Set Date Range filter to "Last 7 days"
  4. Sort by Form Assign to to group by location
  5. Look for any responses where hazards were reported
  6. Click View on flagged responses to see photos and details

Result: You quickly identify that the Loading Dock had 3 reports of "Wet floor" this week and can schedule maintenance to fix the drainage issue.


Example 2: Finding Incomplete Inspections

Situation: You suspect some technicians aren't completing their required daily checklists.

Solution:

  1. Open the checklist form
  2. Go to Responses tab
  3. Filter by Status: Partial
  4. Filter Date Range to this month
  5. Review which locations/assets have incomplete submissions

Result: You find 5 partial responses from Building C and can follow up with that team about completing their inspections fully.


Example 3: Exporting Data for Monthly Report

Situation: Your manager needs a monthly report of all equipment inspection results.

Solution:

  1. Open the Equipment Inspection Form
  2. Click Responses tab
  3. Set Date Range to the previous month
  4. Click ExportExport as Excel
  5. Open in Excel to create charts and summaries for your report

Result: You have a spreadsheet with all inspection data ready to include in your monthly facilities report.
